Why a portal

The private side of running a building needs a home too.

A public building website answers the everyday questions. But much of what happens in a building should not be public: who reported what, which lot booked the lift, which trade is on site, what the committee is discussing.

A resident portal gives each of those its place, behind a login, with the right access for the right people. Owners and residents see their own requests and bookings. The committee sees its documents. The manager sees the whole building.

It runs in the browser on any phone, so there is no app for residents to download, and it is built to sit alongside your strata management software rather than replace it.

Sound familiar?

What a portal replaces.

The daily friction most buildings accept as normal.

  • 01

    Requests lost in email

Maintenance requests scattered across inboxes, with residents chasing for updates.

  • 02

    Lift booking clashes

Two removalists on the same morning because bookings live in a paper diary or a group chat.

  • 03

    Unknown trades on site

Contractors arriving with no record of who they are, when they came or which job they are on.

  • 04

    Private documents emailed

Minutes and financial reports sent around as attachments to whoever asks.

  • 05

    Committee by group chat

Decisions and documents spread across personal messages with no record.

  • 06

    Reports built by hand

Every AGM, the year’s requests, works and figures pulled together from scratch.

What the portal does

Accounts, requests and trades, in one place.

Start with what your building needs most, then add to it.

Requests and bookings

The day-to-day requests that otherwise fill the manager’s inbox.

  • Maintenance requests with status updates
  • Common-area and lift bookings
  • Move-in and move-out scheduling
  • Email notifications at each step

Trades and reporting

A record of who was on site, why, and what was done.

  • Contractor QR check-in and check-out
  • Work order history by lot
  • Committee and AGM reporting
  • Exportable records

Common questions

What people ask before they start.

Anything not covered here, send it through and we will answer it properly.

How much does a resident portal cost?

A resident portal with logins, maintenance requests, bookings and contractor check-in starts from $7,500. Large complexes and multi-building sites are quoted to scope. Every project is quoted in writing for committee approval. Prices exclude GST.

Do residents need to download an app?

No. The portal runs in the browser on any phone, tablet or computer, so residents simply log in. It can be added to a phone’s home screen like an app.

Can owners and tenants have different access?

Yes. Access is set by role and by lot, so owners, tenants, committee members and the manager each see only what they should.

Does it replace our strata management software?

No. Levies, accounts and statutory records stay in your manager’s system. The portal handles the day-to-day requests, bookings and trades, and links through to the manager’s owner portal where there is one.

How does contractor check-in work?

A QR code at the entry or loading dock. Trades scan it on arrival and departure, enter their company and the job they are there for, and the manager has a dated record of every visit.

Can we start with a website and add the portal later?

Yes. Many buildings start with a public building website, then add logins, bookings and requests once the committee has seen it working.

Who owns the portal and its data?

The owners corporation. The portal, domain and data are set up in the owners corporation’s name, and stay with the building if the manager or committee changes.

Do you work with buildings outside Melbourne?

Yes. We work with owners corporations across Victoria, strata schemes in New South Wales and bodies corporate in Queensland and the rest of Australia.
